How we handle personal data from the clinic owners, managers and staff who contact us or use our services.

Who we are
The controller of your personal data is Mental Health Clinic Marketing. You can contact us about privacy at hello@mentalhealthclinicmarketing.co.uk.
What we collect
When you use our get started form or email us, we collect your work email address and, if you give them, your clinic’s name and website and the plan you are interested in. When you become a client we also hold the names and work contact details of the people we work with at your clinic, and records of our work and correspondence.
This website does not use advertising or analytics cookies, and it does not track you across other websites.
We do not need, and do not ask for, any information about your patients. Please do not send us any.
How we use it and why
We use your details to reply to you, set up and run your free trial and your plan, send reports, arrange calls and send invoices. Our lawful bases are taking steps at your request before entering into a contract, performing our contract with your clinic, our legitimate interest in running and improving our business, and complying with legal obligations such as keeping accounting records.
We will not add you to a marketing mailing list without your agreement, and you can unsubscribe from any marketing email at any time.
Who we share it with
We use trusted service providers to run our business, such as email, hosting, form handling, document storage and accounting providers. They process data only on our instructions. We do not sell personal data. We may share data if the law requires it.
How long we keep it
If you contact us but do not become a client, we keep your details for up to twelve months and then delete them. For clients, we keep records for as long as you use our services and then for as long as the law requires, usually six years for financial records.
Your rights
You can ask to see the personal data we hold about you, to correct it, to delete it, to restrict or object to how we use it, and to receive a copy in a portable format. Email hello@mentalhealthclinicmarketing.co.uk. We will reply within one month.
If you are unhappy with how we have handled your data, please tell us first. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk.
Changes
We will update this notice if how we handle data changes, and show the date of the latest version at the top.
